Loading the free estimate builder...

A clear written estimate wins jobs. It shows the homeowner exactly what they are paying for, it makes your price easier to compare fairly against a vaguer one, and it protects both of you when the job is done. This builder gives you a clean, professional estimate in a couple of minutes. Fill in the fields on the left, watch the preview on the right, then print it or save it as a PDF.

How to use the builder

  1. Your business: name, then phone, email and license number on one line.
  2. Client and job: the client's name, the job address, an estimate number and the date.
  3. Line items: one line per part of the job. Add as many as you need.
  4. Terms: sales tax if your state charges it on your work, a deposit percentage, how many days the price is valid, and your notes.
  5. Print or save as PDF: your browser's print window opens. Choose "Save as PDF" as the printer to get a file you can email.

Your entries are saved in this browser so you can come back to them. Nothing is sent to us or anyone else. Use "Start over" to clear it for the next client.

What a solid estimate includes

A specific scope. "Paint living room" is vague. "Living room: patch nail holes, caulk trim, two coats on walls in Sherwin-Williams Duration, matte, client's color" is a scope. The more specific the lines, the fewer arguments at the end.

Line items with quantities. Break the job into steps or areas: prep, each room, trim, materials. Clients like seeing where the money goes, and it lets them drop a line if they need to cut cost.

The total, tax and deposit. If you take a deposit, show the amount. Some states and cities limit how much a contractor can ask up front for home improvement work, so check your local rules.

How long the price is valid. Materials change price. Thirty days is common; the builder fills in the expiry date for you.

Exclusions. List what is not included: moving heavy furniture, repairing rotten wood found during prep, painting closets, permits. "Not included" lines prevent most "I thought that was part of it" disputes.

Payment terms. When the balance is due and how you accept payment.

A signature line. A signed estimate becomes the client's approval to start.

Line item examples

For a painting job:

Item Qty Price
Prep: patch, sand and caulk walls and trim 1 $250
Living room walls, 2 coats 1 $850
Paint and supplies 1 $180

For a handyman visit:

Item Qty Price
Install ceiling fan (customer-supplied) 1 $120
Replace 3 interior door handles 3 $35
Trip and supply run 1 $40

Pricing the lines

Your line prices should come from your costs, not from a guess. The painting estimate calculator builds a paint job price from hours, materials, overhead and margin. The handyman pricing calculator does the same for small jobs, including a minimum charge. If you add a markup to materials, the markup vs margin calculator shows what profit that leaves.

Estimate vs quote vs contract

In everyday use, contractors mix these words up, and the legal meaning varies by place. Broadly:

  • An estimate is your best price for the described work, which can change if the work changes.
  • A quote or bid is a fixed price for a defined scope.
  • A contract is the signed agreement, often including the estimate plus terms, timelines and warranty.

For bigger jobs, many states require a written contract with specific terms for home improvement work. Check with your state's contractor licensing board.

Frequently asked questions

How do I save the estimate as a PDF?

Click "Print or save as PDF", then choose "Save as PDF" or "Microsoft Print to PDF" as the printer.

Not in this version. Your business name prints at the top in large type, which reads cleanly on screen and paper.

Is my client's information stored online?

No. Everything stays in your browser's local storage on this device.

Can I use it on my phone?

Yes. The builder works on a phone, and you can share the PDF straight from your phone's print or share menu.
